A leading international manufacturer of chain systems was faced with the challenge of modernizing its increasingly complex and paper-based order processing. The company needed a solution that would not only increase internal efficiency but also optimize cross-location collaboration. BDF EXPERTS was tasked with developing an SAP-integrated solution that would drive the company's digital transformation.
Implementation of an SAP-based project folder
In order to meet the company's specific requirements, BDF implemented a customized SAP-based solution for order folder management. This approach utilized SAP's document management system (DMS) and integrated an innovative project portfolio (SAP PPG) that enabled efficient, transparent and global document management.
Introduction of digital order folder control
The introduction of digital order folder management began with an analysis of the existing processes and the development of a detailed training program for the project staff. A particular innovation was the integration of email correspondence directly into the SAP system, which also required seamless management of communication and documents. To this end, BDF EXPERTS developed an interface that enabled e-mails to be broken down into their constituent parts and automatically assigned to the corresponding SAP project folders. This solution used the EML format for email archiving to ensure compatibility and efficient processing within the SAP system.
Extended authorization concept
Another element of the solution was the implementation of a granular authorization concept that allowed fine-grained access control at document level. The innovative combination of SAP class system and quick navigation table enabled a fast and efficient authorization check despite complex SAP queries. These customizations ensured a secure and targeted release of information that met the specific requirements of the company's various global locations.
