A leading international manufacturer of chain systems faced the challenge of modernising its increasingly complex and paper-based order processing. The company needed a solution that would not only increase internal efficiency but also optimise cross-site collaboration. BDF EXPERTS was commissioned to develop an SAP-integrated solution to drive the company’s digital transformation forward.
Implementation of an SAP-based project folder
To meet the company’s specific requirements, BDF implemented a tailored SAP-based solution for order folder control. This approach used SAP’s document management system (DMS) and integrated an innovative project folder (SAP PPG) that enabled efficient, transparent and global document management.
Introduction of digital order-folder control
The introduction of digital order-folder control began with an analysis of the existing processes and the development of a detailed training programme for the project team. One particular innovation was the integration of email correspondence directly into the SAP system, which also required the seamless management of communication and documents. To this end, BDF EXPERTS developed an interface that made it possible to break emails down into their component parts and assign them automatically to the corresponding SAP project folders. This solution used the EML format for email archiving to ensure compatibility and efficient processing within the SAP system.
Extended authorisation concept
A further element of the solution was the implementation of a granular authorisation concept that allowed fine-grained access control at document level. The innovative combination of the SAP class system and a quick-navigation table enabled fast, efficient authorisation checks despite complex SAP queries. These adjustments ensured the secure, targeted release of information that met the specific requirements of the company’s various global locations.
Efficient order processing
Implementing the digital order folder control led to a marked increase in efficiency in the company’s order processing. Paperless administration and improved document accessibility accelerated the processes and fostered global collaboration. The email integration and the authorisation concept also improved data security and process control.
